Provide administrative support for Biomechatronics research group and ML Finance support. For Biomechatronics, manage professor's complex schedule and proactively engage colleagues, press, sponsors, collaborators, and visitors in person, by email, or telephone to build relationships and triage inquiries. Manage professor's travel arrangements and itineraries. Become the locus of information for students related to travel, purchasing, etc. Working closely with research lab manager prepare and manage all financial transactions, e.g., requisitions, reimbursements, procurement card, purchasing, and account management/reconciliation. Manage travel reimbursements for professor and students and assist students with travel arrangements. Prepare and edit documents, maintain and update C.V. and bio sketches; handle other general office duties. Establish and maintain effective organization for administrative tasks for the group; coordinate research demos, arranging meetings and catering. For ML Finance, assist with various financial activities such as invoicing, reconciliation, credit card verification and monitoring unaccounted credit card charges; monitor, review, and follow up on travel expenses and purchase orders; maintain financial records, filing and reporting on a regular basis, and duties as assigned.
Qualifications
A minimum of three years of experience as an administrative assistant for senior managers; flexibility and an aptitude for handling a wide variety of duties; strong financial skills in a research environment, ability to learn quickly and work with critical time demands; strong organizational skills, excellent verbal and written communications skills; discretion, diplomacy, and superb judgment; and advanced computer skills with expertise using Excel. Must be a team player who is able to work effectively with a creative and diverse group of people. Seek extremely detail-oriented, accurate, and resourceful individual who is able to multitask with calm efficiency in an environment with competing priorities. Familiarity with SAPgui, and Concur preferred.
