Director's Office
The Events and Financial Administrative Assistant will work closely with the events coordinator in support of Media Lab Director’s Office events such as the Conversations Series, workshops, and Media Lab member meetings. Support will include coordination of logistics, financial activities, and liaising with event stakeholders (faculty, vendors, MIT central offices, presenters, attendees, etc.).
Duties include supporting the events coordinator, faculty, and administrators with all aspects of event planning and coordinating of internal and external events; providing financial and budgeting support by reconciling and auditing monthly accounts, preparing, analyzing, and reporting on budgets, producing financial reports for multiple accounts, preparing purchasing orders; processing accounts payable and receivable tasks; custodial and A/V orders and catering orders; preparing agendas and invitations, assisting with travel for speakers and participants, coordinating and preparing itineraries and assisting with travel reconciliation for event coordinator; applying business practices to ensure compliance with sponsor and MIT financial policies and procedures; and performing other duties as needed.
Qualifications
Job Requirements: Minimum of three years of financial and events coordination experience; BA/BS degree, preferred; strong interpersonal and communications skills for interacting with a diverse group of faculty, staff, students, and visitors; resourceful, with strong problem-solving abilities; excellent writing skills; self-managed and adept at working in a team environment; advanced computer skills in a Macintosh environment; proficiency with complex accounting principles and processes, and experience with MIT financial and other systems, including SAPgui a plus; skilled in Excel and InDesign. Available weekends (approximately six to eight per year). Writing sample will be required of finalists.
