The Program in Media Arts and Sciences (MAS) is a degree-granting graduate program and a highly innovative research program focused on inventing a better future through creative applications of innovative digital technologies.
The MAS Program Assistant works closely with the director of academic program administration to support the admissions process by being the first point of contact regarding the program, liaising with Media Lab faculty, MIT Admissions and applicants, as well as maintaining reports, and attending to other key aspects of the admissions process. This position orients new graduate students and guides existing students through programs and events, assist them with administrative processes, and answers routine questions about academic policies. The position also processes academic transactions, performs degree audits, and coordinates course registration.
The Program Assistant will assist Media Lab faculty with various student-related functions such as the Undergraduate Research Opportunities program (UROP), course scheduling, grades, teaching evaluations, classroom scheduling, thesis processing, student employment, and cross registrations. He/she also will be responsible for the academic appointment process—from invitation to orientation, including the international visitor visa process—for postdocs, visiting professors, and students.
This person will work with the Lab’s student committee on projects that enhance the student community, such as Lab-wide lunches.
The Program Assistant will be responsible for monitoring and reporting on program financial activity (procurement, reconciliation, travel, record keeping).
Qualifications
A minimum of three years of experience as an administrative assistant for senior managers; flexibility and an aptitude for handling a wide variety of duties; ability to learn quickly and work with critical time demands; strong organizational skills, superior customer service skills; excellent verbal and written communications skills; discretion, diplomacy, and superb judgment; and advanced computer skills including proficiency with Macintosh computers and Microsoft Office. Must be a team player who is able to work effectively with a creative and diverse population and enjoys meeting new people. Seek extremely detail-oriented, accurate, process-oriented and resourceful individual who can multitask with calm efficiency in an environment with competing priorities. Familiarity with website maintenance (HTML), SAPgui, and Concur preferred. MIT experience, particularly in student services administration is desirable.
